Employee Onboarding Software: A Buyer's Guide

The short answer

Employee onboarding software turns the paperwork and tasks around a new hire into one automated workflow: contracts and forms signed online, right-to-work and tax details collected, equipment and accounts requested, and a first-weeks plan sent to the new starter and their manager. Choose one that handles the legal steps in every country you hire in and connects to your applicant tracking, HR and payroll systems.

  • Map your current onboarding steps and owners before you look at products.
  • Check that the tool covers each country’s legal steps, or lets you build them.
  • Integration with your ATS and payroll matters more than a polished welcome page.
  • Many HR platforms include onboarding; check what you already pay for.

A free checklist of onboarding tasks from offer acceptance to the end of the first months, to map before you buy software.

Employee onboarding software manages everything between a signed offer and a productive new starter. It sends forms and contracts for e-signature, collects personal, tax and bank details, prompts IT and facilities to set up accounts and equipment, assigns tasks to the manager and buddy, and gives the new hire a checklist and welcome content for their first weeks.

This buyer's guide covers what the category does, the features that matter, the legal steps it should help you complete in different countries, how to evaluate products, questions to ask vendors and some well-known vendors. It is not a ranking.

This is general information, not legal advice.

What does onboarding software do?

StageWhat the software handles
Offer acceptedPulls the new hire's details from the applicant tracking system
Pre-boardingSends contract, policies and forms for e-signature; collects tax, bank and emergency contact details; runs right-to-work steps
ProvisioningCreates tasks for IT (laptop, accounts), facilities (desk, access) and payroll
Day oneWelcome message, schedule, introductions, first tasks
First weeks and monthsTraining assignments, check-ins with the manager, probation review reminders
ReportingShows which tasks are overdue and who owns them

The paperwork differs by country. Software should either cover these steps or let you build them into a workflow.

  • UK. You must check that a job applicant is allowed to work for you in the UK before you employ them. You must give employees and workers a principal written statement of employment particulars on their first day, and a wider written statement within 2 months. You must tell HMRC about a new employee on or before their first payday, and assess them for workplace pension auto-enrolment.
  • US. Employers must complete Form I-9 for every person they hire, to verify identity and employment authorisation: the employee completes Section 1 and the employer examines documents and completes Section 2. Keep each form for three years after the date of hire or one year after employment ends, whichever is later. New employees also complete Form W-4 so you can withhold federal income tax, and state forms may apply.
  • Australia. Employers must give every new employee a copy of the Fair Work Information Statement when they start, and every new casual employee the Casual Employment Information Statement as well.
  • India. Under the Labour Codes in force since 21 November 2025, appointment letters must be issued to all employees. Provident fund and ESI registration apply where the establishment is covered.

If you use onboarding software for document checks, confirm how it stores identity documents and who can see them.

What features should onboarding software have?

Must-haves

  • Workflows by role, location and employment type, so a warehouse hire in one country and a remote engineer in another get the right steps.
  • E-signature and form collection with data that flows into your HR record.
  • Task assignment to other teams (IT, facilities, payroll, managers) with reminders and due dates.
  • Integration with your applicant tracking system so data is not re-keyed.
  • Integration with HR and payroll so the employee record and first pay are correct.
  • A new-hire portal or app that works before day one.
  • Access controls for sensitive documents.
  • Reporting on completion and overdue tasks.

Useful extras

  • Pre-boarding content: welcome videos, team introductions and what to expect.
  • Buddy and mentor assignment.
  • Learning assignments for compliance training.
  • Check-in surveys at set points, for example at 30, 60 and 90 days.
  • Offboarding workflows, which use the same engine in reverse.

How do you evaluate onboarding software?

  1. Map your current process. List every step from offer acceptance to the end of probation, who owns it and where it fails. Our onboarding checklist template is a starting point.
  2. Check what you already have. Many HR information systems include an onboarding module. A specialist tool makes sense when you need richer workflows or a better new-hire experience than your HR system offers.
  3. List integrations: ATS, HR, payroll, identity and access management, e-signature, learning system.
  4. Shortlist three products and ask each to build one of your real workflows in the demo.
  5. Walk through it as a new hire on a phone, and as a busy manager.
  6. Pilot with one team or location before rolling out.
  7. Agree measures: tasks completed before day one, time to first pay without errors, and new-hire feedback.

What questions should you ask onboarding software vendors?

  • Which countries' onboarding forms and legal steps do you support out of the box?
  • Can workflows branch by country, role, department and employment type?
  • Which ATS, HR and payroll systems do you integrate with, and is the integration two-way?
  • How are identity and right-to-work documents stored, and for how long?
  • Can new hires complete everything on a phone before their start date?
  • How do you handle a start date that changes, or an offer that is withdrawn?
  • Can we report on overdue tasks by owner?
  • Where is data hosted, and which security certifications do you hold?
  • How do we export our data if we leave?

Which onboarding software vendors should you look at?

These are well-known vendors, described from their own websites. Some are full HR platforms with onboarding built in; others focus on onboarding. The list is not exhaustive or ranked, and pricing changes often, so check each vendor's site.

VendorMain focus (from its site)
BambooHRHR software covering hire to retire, including payroll and benefits
HiBobHR platform with workflow automation that runs onboarding and approvals
Zoho PeopleOnboarding with a new-hire portal, customisable workflows and checklists
EnboarderAn employee journey platform for personalised, cross-functional onboarding at scale
WorkdayHuman capital management software for larger organisations
Employment HeroRecruitment, HR, payroll and benefits for small and medium businesses

How much does onboarding software cost?

Specialist onboarding tools and HR platforms usually charge per employee per month, sometimes with a minimum, and onboarding may be a module or add-on. Check each vendor's site and ask whether you pay for all employees or only new hires.

Where does onboarding start?

Onboarding starts before the offer is accepted. A clear offer letter sets expectations on pay, start date and conditions, and a welcome email sent soon after acceptance keeps the new hire engaged during the notice period. Honest information during hiring also helps: candidates who had a realistic job preview start with fewer surprises.

FAQs

What is the difference between onboarding and orientation?

Orientation is usually a one-off session on the first day or week covering policies and practicalities. Onboarding is the whole process from offer acceptance until the person is settled and productive, which can take months.

What is pre-boarding?

Pre-boarding is the period between offer acceptance and the first day. Paperwork, equipment and introductions done in this window mean the first day can be spent on the job and the team.

Can onboarding software do right-to-work checks?

Some tools collect documents or connect to identity verification providers. The legal responsibility for the check stays with the employer, so confirm that the method the tool uses is acceptable under the rules of the country concerned.

Do small businesses need onboarding software?

Not always. A well-maintained checklist and an HR system with basic onboarding tasks can be enough for a few hires a year. Dedicated software pays off when you hire often, across locations or countries, or when tasks keep falling through the gaps.
