How to use this template

  • 1Start the checklist the day the offer is accepted, not on day one. Equipment, accounts and paperwork take time, and the weeks before the start date are when a new hire can still change their mind.
  • 2Pick the version that fits: the full checklist, pre-boarding only, remote, the manager's own list, or the India joining checklist.
  • 3Put a name against every line. A step that belongs to "HR" or "the team" in general tends not to happen.
  • 4Add the paperwork your country requires, and check it with whoever runs payroll and employment law advice for you.
  • 5Keep one copy per new hire and tick items off as they are done, so anyone can see what is still outstanding.

Mistakes to avoid

  • Leaving the laptop and logins to day one, so the new hire spends their first morning waiting for IT.
  • No handover from the recruiter, so the manager does not know what the new hire was told or promised at interview.
  • Treating onboarding as the first day only, with nothing planned for weeks two to twelve.
  • Filling the first week with paperwork and policy reading, and no real work.
  • Never asking the new hire how onboarding went, so the same gaps repeat for the next person.

Questions

What should a new hire onboarding checklist include?

Everything from offer acceptance to around 90 days: paperwork and checks, equipment and accounts, the welcome email, day-one plans, introductions, training, the first piece of real work, regular check-ins, agreed goals and a review at the end. Each item should have an owner.

What is the difference between an onboarding checklist and an onboarding template?

An onboarding checklist is the list of tasks to tick off. An onboarding template is usually the reusable version your team copies for each new hire, often with names, dates and owners filled in. The versions above work as both.

How long should employee onboarding last?

Many teams plan onboarding over the first 90 days, with a review at the end. Pre-boarding, between the offer and day one, comes before that.

What is pre-boarding?

Everything that happens between the offer being accepted and the first day: checks and paperwork, equipment and accounts, and staying in touch with the new hire so they arrive ready and still keen.

Who is responsible for onboarding a new employee?

It is shared. The recruiter hands over, HR handles paperwork and checks, IT sets up equipment and access, and the manager owns the first weeks of work, goals and check-ins. The checklist should name who does each step.

What paperwork does a new employee need to complete?

It depends on the country. In the US it includes Form I-9, with Section 1 done by the first day, and Form W-4. In the UK the employer checks the right to work before employment starts and gives a written statement of terms on the first day. In India, joining formalities usually include PAN, UAN, bank details and the previous employer's relieving letter. Check the full list with your payroll or legal adviser.
