Hiring in healthcare looks like hiring anywhere else until you reach the credential. A nurse with a lapsed licence cannot start, an excluded aide can cost the organisation penalties, and a surveyor will ask to see proof that every licence was checked with the issuing board. On top of that, many hospitals and care groups hire nurses, aides and support staff continuously, often at volume.
This guide covers what healthcare recruiting software needs to do, how the main types of tool differ, and how to choose. Disclosure: Cohesyve publishes this guide and is one of the tools mentioned. Other vendors are described from their own public pages as of October 2026; check their sites for prices.
What is healthcare recruiting software?
Healthcare recruiting software is the set of tools a hospital, clinic, care home or home health agency uses to attract, screen, verify and hire clinical and non-clinical staff. At its core sits an applicant tracking system (ATS), usually with healthcare workflows for licensed roles, PRN and per diem shifts, union rules and multiple sites.
Around the ATS, most healthcare employers add some of these:
- Sourcing and recruitment marketing: career sites, talent pools and campaigns aimed at nurses and allied health staff.
- Screening and scheduling: text or voice assistants that ask the knockout questions and book interviews.
- Assessments: behavioural, skills or situational tests for patient-facing roles.
- Licence and exclusion checks: board-of-nursing lookups, ongoing licence monitoring and exclusion list screening.
- Onboarding: forms, document collection and the hand-off to the HR system.
A general ATS can run healthcare hiring. The difference is how much of the credentialing and volume work you then do by hand.
What should a healthcare ATS do that a general ATS does not?
A healthcare ATS should handle licensed roles, shift-based jobs and high applicant volume without workarounds. These are the features to check in a demo.
| Need | What to look for | Why it matters in healthcare |
|---|---|---|
| Licence capture and verification | Licence number and state collected on the application; verification with the primary source recorded with date, person and result | Accreditors expect proof the organisation checked the licence itself |
| Renewal tracking | Expiry dates stored; alerts before a licence lapses | Verification is expected again when credentials renew |
| Shift and unit detail | Requisitions by unit, shift, FTE, PRN or per diem | A nurse's choice of job depends on shift and unit |
| Text-first engagement | Applying and replying by text; automated reminders | Clinical candidates are often on shift when recruiters call |
| Self-scheduling | Candidates pick interview slots from managers' calendars | Nurse managers have little time to coordinate interviews |
| Multi-site and union workflows | Different approval paths and rules per facility or bargaining unit | Health systems often hire across many facilities under different rules |
| Exclusion screening hook | Integration with a background or exclusion screening provider | Employing an excluded person carries federal penalties |
| Onboarding hand-off | Digital forms; integration with the HRIS | Shortens the gap between offer and first shift |

Putting together a list of tools to try?
Cohesyve takes a job description, finds candidates, reaches out to them and runs an AI job simulation of the real work, then returns a ranked shortlist. Ten candidates free, no card.
How do you verify nurse licences during hiring?
Verify each licence directly with the issuing source before the start date, record the check, and repeat it when the licence renews. For nurses in the US, the main tool is Nursys, run by the National Council of State Boards of Nursing (NCSBN).
Nursys describes itself as the only national nurse licensure and disciplinary database, with data supplied by boards of nursing. Two of its tools matter for recruiters:
- QuickConfirm is a free lookup of a nurse's licence and discipline status, with a downloadable report.
- e-Notify lets an institution enrol its nurses and receive free automated licence status and discipline notifications from participating boards.
Nursys calls its data "primary source equivalent". Check which boards take part, as coverage depends on each board of nursing.
Multistate licences add a step. Under the Nurse Licensure Compact, nurses who live in a compact state can hold one licence that lets them practise in other compact states. The NCSBN compact site lists 43 participating jurisdictions as of October 2026. When you hire a nurse from another state, check whether their licence is multistate and whether your state is in the compact.
What do accreditors expect from credential checks?
The Joint Commission expects the organisation to verify a licence, certification or registration with the primary source when law or regulation requires that credential, both at hire and at renewal. Keeping a copy of the licence in the personnel file is a different thing from verifying it with the issuing body.
A Joint Commission bulletin on staff qualifications (standard HR.01.01.01, written for home care) lists problems surveyors found: licences verified after the hire date, no verification at renewal, and licences checked only after they had expired.
That is the practical case for software here. If your ATS or HR system stores expiry dates and prompts a re-check, these gaps are easier to avoid.
What other compliance checks belong in healthcare hiring?
Two more checks sit alongside licence verification for most US healthcare employers.
- Exclusion screening. The HHS Office of Inspector General keeps the List of Excluded Individuals and Entities (LEIE). People on it cannot be paid by federal health care programmes for services they provide, and an employer that hires them can face civil monetary penalties. OIG advises healthcare organisations to check the list routinely, for new hires and current staff. Ask your background check provider whether its package covers the LEIE.
- AI screening rules. If a tool scores, ranks or rejects applicants automatically, hiring laws on automated decisions may apply, depending on where the role is based. The EU AI Act's recruitment obligations apply from 2 December 2027, and Colorado's replacement AI law, SB 26-189, takes effect on 1 January 2027. Our guide to AI hiring laws in 2026 explains each one in plain English. This section is a general explainer and does not give legal advice.
Which healthcare recruiting software vendors should you look at?
Shortlist by the job you need done: a full ATS, a screening and scheduling layer, a nurse marketplace, or a skills-based shortlist. The table describes each vendor from its own public positioning.
| Vendor | Type | Public positioning for healthcare | Pricing |
|---|---|---|---|
| symplr Recruiting | Healthcare ATS | Built "specifically for hospitals and health systems"; workflows for clinical, non-clinical, PRN, union and multi-site hiring; texting, scheduling, video interviews, onboarding; links to symplr Assessments | Check their site |
| iCIMS | ATS and recruiting platform | One platform for clinical, administrative and support staff; ATS, text engagement, video interviews, offer management, AI recruiting and analytics | Check their site |
| Workday Recruiting with Paradox | HCM suite plus conversational AI | Workday completed its purchase of Paradox in October 2025. Paradox's assistant, Olivia, screens by text, schedules and reminds around the clock, for hospitals, home health, senior living and long-term care | Check their site |
| Phenom | AI recruiting layer | Voice agent confirms licensure, shift availability and travel radius; books interviews onto managers' calendars; sourcing and career paths such as CNA to LPN to RN; runs alongside your system of record | Check their site |
| Incredible Health | Nurse hiring marketplace | Nurses build profiles; hospitals reach out to them for permanent roles | Check their site |
| NCSBN Nursys | Licence verification | Free QuickConfirm lookups and e-Notify licence monitoring from boards of nursing | Free |
| Cohesyve (our product) | Sourcing, simulations and ranked shortlist | Takes a job description, sources and contacts candidates, puts them through AI job simulations of the real work, and returns a ranked shortlist | From $199/month billed annually; 10 free candidates |
Verdict. If you are replacing your ATS, start with symplr, iCIMS and your HR suite's own recruiting module, and test each against the licence and renewal rows in the table above. If your ATS is fine but nurse managers spend their week scheduling interviews, add a screening and scheduling layer such as Paradox or Phenom. If you cannot get enough experienced nurses applying, a marketplace adds reach. Whatever you buy, keep Nursys in the process for nurse licences.
What is AI recruiting software for healthcare good at?
AI recruiting software in healthcare is best at the repetitive, high-volume steps: answering candidate questions out of hours, asking knockout questions such as licence type and shift preference, and booking interviews. It is weaker at judging clinical competence, which still needs licence checks, references and a clinical interview.
Use it with care in three places:
- Knockout questions. Keep them to genuine job requirements, such as an active RN licence in the right state. Vague filters drop qualified people.
- Automated ranking. Ask the vendor what the ranking is based on and whether it has been tested for adverse impact. Laws on automated hiring decisions may apply.
- Candidate experience. Out-of-hours replies help candidates who work shifts, but a candidate stuck in a loop with a bot may drop out, so make sure a person can step in.
How do you hire nurses and aides at high volume?
Shorten every step between application and offer, and run the steps in parallel where you can. Every extra day between application and offer gives a candidate more time to accept another job.
- Apply by phone in minutes. Ask only for what you need to screen: licence, shift, unit, start date.
- Screen and schedule the same day. Text-based screening and self-scheduling remove the phone tag.
- Verify the licence before the interview. A QuickConfirm lookup is free and can save an interview slot.
- Use a structured interview. Ask every candidate for a role the same questions and score them the same way. Our interview scorecard is a starting point.
- Check references quickly. See our reference check questions.
- Make the offer while the candidate is still warm, and start onboarding paperwork straight away.
Our guides to high-volume recruiting strategies and pre-employment assessments for high-volume hiring go further on each step. For roles where a first interview is mostly about communication, one-way video interviewing can replace the phone screen.
Where does Cohesyve fit in healthcare hiring?
Cohesyve fits non-licensed and patient-adjacent roles where you need to see how someone handles the work before you interview them, such as patient access, scheduling, front desk, billing and contact centre staff. You give Cohesyve a job description; it sources candidates, contacts them, puts them through AI job simulations of the real work, such as handling a confused or upset caller, and returns a ranked shortlist. It does not verify licences or test clinical competence, so for nurses you would still run Nursys checks and your clinical interview alongside it. Pricing is a subscription from $199/month billed annually, and a new account includes 10 free candidates. Our guide on how to assess customer service skills shows what a good patient-facing assessment checks.
How do you choose healthcare recruiting software?
Choose by testing a real requisition instead of watching a scripted demo. Run one nurse role and one high-volume support role through each shortlisted tool and check these points.
- Licence workflow: where the licence number goes, how verification is recorded, and what happens when it expires.
- Time from application to interview: count the candidate's steps and the recruiter's clicks.
- Manager effort: can a nurse manager review candidates and book interviews from a phone?
- Integrations: your HR system, background and exclusion screening provider, and scheduling tools.
- Users and pricing model: whether every hiring manager needs a paid seat.
- AI transparency: what any automated screening or ranking is based on, and what audit records you can export.

Common questions
What is the best healthcare recruiting software? There is no single best tool. Health systems replacing an ATS usually compare healthcare-focused platforms such as symplr and iCIMS with their HR suite's recruiting module. Teams that mainly need speed add a screening and scheduling layer.
Is there free software to verify nurse licences? Yes. NCSBN's Nursys QuickConfirm lookup and e-Notify licence status notifications are free, with data from participating boards of nursing.
Is a copy of the licence enough for the Joint Commission? Not on its own. It expects the organisation to verify with the primary source when the licence is legally required, at hire and at renewal, and to record the check.
What is nurse recruiting software? Software that helps an employer find, screen and hire nurses. It ranges from a healthcare ATS with licence fields to nurse-only marketplaces and AI assistants that screen by text.
Do we need to check the OIG exclusion list? OIG advises healthcare organisations to check the LEIE routinely for new hires and current staff, because employing an excluded person can lead to civil monetary penalties.
Can AI screen nurses? AI can ask screening questions, confirm licence type and shift preference, and schedule interviews. Clinical judgement still needs licence verification, references and an interview with a clinical lead.
