Recruitment Tracker Template

A recruitment tracker is a spreadsheet that records every candidate and open role in one place: where each candidate is in the process, what happens next, who owns it and how long it has taken. Pick the tracker below, copy it and paste it into cell A1 of an Excel or Google Sheets sheet; the header row splits into columns.

Fill in your details

Every version below updates as you type. A field left empty stays as a [placeholder] in the text you copy.

Your company and sender details are remembered, so the next template starts with them filled in.

Note

A tracker holds candidates’ personal data. Data protection law commonly limits how long you keep it and who can see it: the UK and EU GDPR say no longer than necessary, and India’s DPDP Act duties are phasing in. Check what applies; this is not legal advice.

Candidate tracker for one role

When to use it: One role with more than a handful of applicants, where you need to see every candidate’s stage, next step and owner at a glance.

Candidate Email Phone Location Source Date applied Stage Status Next step Next step date Owner Last contact Interview rating Decision reason Offer accepted Days in process Notes [Example candidate] [Example candidate email] [Location and work model] [Example source] [Example date applied] Interview Active Interview [Example interview date] [Hiring manager] COLUMN GUIDE A Candidate: full name, as on the application. E Source: where they came from. Dropdown: [Your sources]. F Date applied: entered as a date, so the formulas work. G Stage: where they are now. Dropdown: [Your stages, in order]. H Status: Active, On hold, Rejected, Withdrawn or Hired. Stage says how far they got; Status says whether they are still in the process. I and J Next step and its date: every Active candidate has one. Sort by column J to see what is due. K Owner: the person who does the next step. L Last contact: the date you last told the candidate anything. Sort oldest first to find people waiting for news. M Interview rating: the overall score from your scorecard, filled in after each interview. N Decision reason: one line on why a candidate was rejected or withdrew, written in job-related terms. O Offer accepted: the date they accepted. P Days in process: =IF(O2<>"",O2-F2,IF(H2="Active",TODAY()-F2,"")) in row 2, copied down. It counts days for Active candidates, stops when an offer is accepted, and stays blank for Rejected, Withdrawn or On hold. Format the column as a number. Tracker for [Role] ([Role or requisition ID]), [Company name]. Hiring manager: [Hiring manager]. Owner: [Tracker owner]. Reviewed [When the tracker is reviewed].

Recruitment tracker for all open roles

When to use it: A hiring tracker for a team or company with several roles open at once, kept by a recruiter or HR lead to report progress to managers.

Req ID Role Department Hiring manager Recruiter Location New or replacement Priority Date opened Target start Status Applicants In interview Offers made Hired name Offer accepted Days open Next action Notes [Role or requisition ID] [Role] [Department] [Hiring manager] [Tracker owner] [Location and work model] New High [Date the role opened] [Target start date] Interviewing COLUMN GUIDE A Req ID: one ID per role, matching your requisition or approval, so every candidate tracker links back to it. G New or replacement: Dropdown: New, Replacement. H Priority: Dropdown: High, Medium, Low. Agree it with leadership so recruiters know what to work on first. I Date opened: the date the role was approved. K Status: Dropdown: Approved, Advertising, Screening, Interviewing, Offer, Filled, On hold, Cancelled. L to N Applicants, In interview, Offers made: counts. If each role has its own candidate sheet, count them with COUNTIF, for example =COUNTIF(Candidates!G:G,"Interview"). P Offer accepted: the date the chosen candidate accepted. Q Days open: =IF(P2="",TODAY()-I2,P2-I2) in row 2, copied down. For working days, use =NETWORKDAYS(I2,P2) once the role is filled. R Next action: the one thing that moves the role forward this week, with an owner. Open roles tracker, [Company name]. Owner: [Tracker owner]. Reviewed [When the tracker is reviewed].

Recruitment pipeline summary

When to use it: A one-tab summary of how many candidates are at each stage and where they came from, built from a candidate tracker on a sheet named Candidates.

RECRUITMENT PIPELINE: [Role] ([Role or requisition ID]) [Company name]. Owner: [Tracker owner] Stage Active candidates now Formula Applied =COUNTIFS(Candidates!G:G,"Applied",Candidates!H:H,"Active") Screen =COUNTIFS(Candidates!G:G,"Screen",Candidates!H:H,"Active") Assessment =COUNTIFS(Candidates!G:G,"Assessment",Candidates!H:H,"Active") Interview =COUNTIFS(Candidates!G:G,"Interview",Candidates!H:H,"Active") Final interview =COUNTIFS(Candidates!G:G,"Final interview",Candidates!H:H,"Active") Offer =COUNTIFS(Candidates!G:G,"Offer",Candidates!H:H,"Active") Outcome Candidates Formula Hired =COUNTIF(Candidates!H:H,"Hired") Rejected =COUNTIF(Candidates!H:H,"Rejected") Withdrawn =COUNTIF(Candidates!H:H,"Withdrawn") On hold =COUNTIF(Candidates!H:H,"On hold") Source Applicants Reached interview Referral =COUNTIF(Candidates!E:E,"Referral") =COUNTIFS(Candidates!E:E,"Referral",Candidates!M:M,"<>") HOW TO READ IT Paste each formula into the cell to its left, then delete the Formula column. Add a Source row for each of your sources: [Your sources]. "Reached interview" counts candidates with an interview rating in column M, so it only works if ratings are filled in after every interview. Your stages: [Your stages, in order]. If you rename a stage on the Candidates sheet, rename it here too, or the count drops to zero. Copy the counts into a new column each week to see whether the pipeline is filling or stalling. Reviewed [When the tracker is reviewed].

Interview tracker

When to use it: Many interviews across several interviewers, where you need to see who is booked, who has confirmed and whose feedback is missing.

Candidate Stage Date Time and time zone Format Interviewers Invite sent Candidate confirmed Adjustments requested Feedback due Feedback received Rating Recommendation Notes [Example candidate] Interview [Example interview date] 10am UK time Video [Example interviewers] Yes Yes No COLUMN GUIDE E Format: Dropdown: Phone, Video, In person, Panel, Assessment. G and H Invite sent, Candidate confirmed: Yes or No. Filter on No the day before to chase confirmations. I Adjustments requested: anything the candidate asked for, such as extra time or step-free access, so every interviewer knows. J Feedback due: the date you need scorecards back. Same day or the next working day keeps the detail fresh. K Feedback received: Yes or No. Filter on No each morning and chase. M Recommendation: Dropdown: Strong yes, Yes, No, Strong no. Record it separately from the rating so a decision meeting can see both. Interview tracker for [Role] ([Role or requisition ID]), [Company name]. Owner: [Tracker owner]. Reviewed [When the tracker is reviewed].

Offer and start date tracker

When to use it: Offers going out across several roles, where you need to track approvals, deadlines, conditions and start dates until each person joins.

Candidate Role Req ID Hiring manager Offer approved by Verbal offer date Written offer sent Reply by Status Conditions outstanding Conditions cleared Start date Onboarding started Notes [Example candidate] [Role] [Role or requisition ID] [Hiring manager] Offer sent References, right-to-work check No [Target start date] No COLUMN GUIDE E Offer approved by: the name of whoever signed off the offer, so you can show approval was given before it went out. I Status: Dropdown: Approval pending, Verbal offer, Offer sent, Accepted, Declined, Withdrawn, Started. J and K Conditions outstanding, Conditions cleared: the checks the offer depends on, and whether they are complete. L Start date: the agreed first day. Sort by it to see who joins next. M Onboarding started: Yes or No, so nobody arrives to a missing laptop or login. N Notes: keep pay details in your HR system with restricted access, not in a shared tracker. Offer tracker, [Company name]. Owner: [Tracker owner]. Reviewed [When the tracker is reviewed].

How to use this template

  • 1Pick the tracker you need. Most teams start with the candidate tracker for one role and add the open roles tracker once several roles are live.
  • 2Fill in the fields above, click "Copy this version", then paste into cell A1 of a new sheet in Excel or Google Sheets. The header row and example row split into columns.
  • 3Move the column guide to a second tab named Guide, then delete the example row once you have added real data.
  • 4Add dropdowns to the Stage, Status and Source columns, so everyone types the same words and the counts work: in Excel, Data > Data Validation > Allow: List; in Google Sheets, Data > Data validation, or Insert > Dropdown.
  • 5Freeze the header row (View > Freeze Panes in Excel, View > Freeze in Google Sheets) and turn on filters, so you can sort by next step date or owner.
  • 6Name the sheet Candidates if you use the pipeline summary, because its formulas refer to that name.
  • 7Agree who updates the tracker and when, and review it with each hiring manager on a set day.

Mistakes to avoid

  • Letting people type stages freely, so "Interview", "interviewing" and "Int" are counted as three different stages.
  • Using one column for both how far a candidate got and whether they are still in the process; keep Stage and Status separate.
  • Leaving Active candidates without a next step and a date, which is how people end up waiting weeks for news.
  • Writing personal opinions or protected characteristics in the notes. Record job-related reasons only; candidates can ask to see what you hold about them.
  • Sharing the tracker with everyone in the company. Give access only to the people who need it for the role.
  • Keeping rejected candidates’ details indefinitely. Set a retention period and delete or anonymise rows when it ends.

Questions

What should a recruitment tracker include?

For each candidate: name, contact details, source, date applied, current stage, status, next step with a date and an owner, date of last contact, interview rating and the reason for any decision. For each role: ID, hiring manager, date opened, target start date, status and counts at each stage.

How do I create a recruitment tracker in Excel?

Copy one of the trackers above and paste it into cell A1, so the header row splits into columns. Add dropdown lists to Stage, Status and Source with Data > Data Validation, freeze the header row and add filters. The same steps work in Google Sheets.

What is the difference between a recruitment tracker and an applicant tracking system?

A tracker is a spreadsheet you update by hand. An applicant tracking system is software that collects applications from job adverts, moves candidates through stages, sends emails and keeps the history for you. A spreadsheet works for a few roles at a time; once several people are updating it every day, it becomes hard to keep accurate.

What is a recruitment pipeline template?

A summary that counts how many candidates are at each stage of hiring, from applied to hired, so you can see where candidates are building up or dropping out. The pipeline summary above builds those counts from your candidate tracker with COUNTIFS formulas.

How do I track time to hire in a spreadsheet?

Record the date each candidate applied and the date they accepted an offer, then subtract one from the other. Use NETWORKDAYS(start, end) instead if you report in working days. Our time to hire calculator works it out for one role or several.

How long should I keep candidate data in a tracker?

Data protection law in the UK and EU says no longer than you need it, and the UK regulator’s draft recruitment guidance says the law sets no fixed period: you set your own and write it down. Check what applies where you hire, and tell candidates in your privacy notice.
