Fill in your details

Every version below updates as you type. A field left empty stays as a [placeholder] in the text you copy.

Email versions open straight in your email app with the subject and text filled in. You add the recipient there.

Your company and sender details are remembered, so the next template starts with them filled in.

Note

Whether interns must be paid depends on local law: in the US, for a for-profit employer, it turns on the "primary beneficiary" test described by the Department of Labor; in the UK, interns who count as workers are normally due the National Minimum Wage; in India, apprentices fall under the Apprentices Act, 1961, while internships have no single law of their own. Check the rules where you hire; this template is not legal advice.

How to use this template

  • 1Agree the dates, the mentor and the work the intern will do before you write the letter, so it describes a real plan.
  • 2Pick the version that fits: a paid internship, the Indian format with stipend, a placement that counts towards a course, a remote internship, or a pre-placement offer at the end of one.
  • 3Fill in every field above, including the pay or stipend and how often it is paid. Anything left empty stays as a [Label] in the copied text.
  • 4If the college needs paperwork, such as a no-objection certificate or a supervisor’s sign-off, say so in the letter and name who will handle it.
  • 5Tell the intern the news by phone first, then send the letter with the email version, with one date to accept by and one person to contact.

Mistakes to avoid

  • Hinting at a permanent job in the letter when no full-time role has been approved.
  • No end date, which leaves the intern unsure when the internship finishes.
  • Writing "stipend as per company policy" instead of the amount and how often it is paid.
  • Offering an unpaid internship without checking whether local law requires the intern to be paid.
  • Naming no mentor, so the intern has no one to ask in their first week.

Questions

What should an internship offer letter include?

The internship title, the start and end dates, the mentor or manager, the place of work and hours, the pay or stipend and how often it is paid, what the intern will work on, any conditions, what happens at the end and a date to accept by.

What is the internship offer letter format in India?

A typical format is a formal letter on company letterhead: the date, the intern’s name and address, a subject line, the offer with dates, stipend, timings and reporting manager, the documents to bring on joining and a signed acceptance. The India version above follows that layout.

Do interns have to be paid?

It depends on where you hire. In the US, whether an intern at a for-profit employer must be paid turns on the "primary beneficiary" test the Department of Labor describes. In the UK, interns who count as workers are normally due the National Minimum Wage, with exceptions such as students on a required placement of under a year on a UK course. In India, internships have no single law of their own. Check local law before you offer an unpaid internship.

What is a pre-placement offer (PPO)?

A full-time job offer made to an intern, usually towards the end of the internship, for a role that starts after they finish their course. It is a job offer, so it needs the same detail as any offer letter: the title, start date, pay and conditions.

What is the difference between an internship offer letter and an internship certificate?

The offer letter comes before the internship and sets out its terms. The certificate, or completion letter, comes at the end and confirms the dates and the work the intern did.

Does an intern need a no-objection certificate (NOC) from their college?

Some colleges ask for one before a student can take up an internship. Ask the intern whether theirs does, and if so, list it in the offer letter among the documents to bring.
