What is an open door policy?

An open door policy is a workplace commitment that employees can raise questions, ideas, concerns or complaints directly with their manager, or with more senior managers, without needing an appointment through formal channels and without fear of retaliation.

What is an open door policy?

The idea is to make it easy to speak up early, before a small problem becomes a formal grievance or a resignation. A typical policy says employees can approach their own manager first and, if that is not appropriate, any other manager, HR or a senior leader; that conversations will be treated with discretion; and that nobody will suffer for raising something in good faith.

The phrase is easy to write and hard to live up to. An open door policy only works if managers actually make time, listen without becoming defensive, follow up on what they hear and tell the employee what happened next. If people see colleagues penalised after speaking up, or nothing ever changes, they stop using it, and the policy becomes a line in the handbook.

It complements, but does not replace, formal routes. Some issues, such as harassment, discrimination, whistleblowing or a formal complaint about pay or treatment, need a written procedure with clear steps and protections. Make sure the open door policy points to those procedures and that managers know when an informal conversation has to become a formal one.

A short sample statement: “If you have a question, idea or concern, talk to your manager. If that does not feel right, you can go to any other manager, to HR or to a member of the leadership team. We will listen, treat what you say with discretion and get back to you. Nobody will be treated unfairly for raising a concern in good faith. For formal complaints, see the grievance policy.”

Also called: open-door policy, speak-up policy.

Example

A warehouse operative tells the site manager, through the open door policy, that a loading bay door sticks and staff are using an unsafe workaround. The manager logs it, has it repaired that week and thanks the operative at the next team briefing.
